The Challenge
The university system operated 5 different legacy administrative systems across 12 campuses. Student transfers required manual record reconciliation, financial reporting was delayed by weeks, and HR processes varied by campus. They needed a unified cloud ERP platform.
Our Solution
We provided comprehensive testing for the Oracle Cloud ERP implementation including student information system migration and validation, financial data reconciliation across 12 campuses, HR and payroll integration testing, and user acceptance testing with 500+ university staff members.
Higher education institutions face unique ERP challenges — academic workflows, complex financial aid rules, research grant management, and the need to serve both students and administrators make university ERP implementations notoriously complex.
Data migration was the biggest risk factor. Student records spanning decades, with varying formats and completeness levels, needed to be transformed and validated. We developed automated migration validation scripts that checked every record against source systems.
User acceptance testing involved 500+ staff members across all 12 campuses. We organized testing by functional area (admissions, registrar, finance, HR) and conducted 3 rounds of UAT with comprehensive feedback cycles.
The go-live strategy used a big-bang approach within each campus but staggered across campuses. This allowed the support team to focus on one campus at a time while other campuses continued on legacy systems.
